Your child’s services may already pay for this
Most families who end up funded did not know it was possible. If your child is served by a regional center, instruction can often be added to their plan — and if it is, you pay nothing at all.
No copay. No shared pay. No difference to make up.
For a funded service you are not billed anything, ever. There is no point in the process where we will ask you for a card, and if anyone ever does, something has gone wrong.
What a regional center is
California has twenty-one regional centers. They are non-profit organisations under contract with the state to coordinate services for people with developmental disabilities, and each covers a defined area. If your child is served by one, they have a plan and a service coordinator.
What a line item on the plan means
The plan lists the services the agency will fund and roughly how much of each. A service that is on the plan can be authorised; one that is not has to be added first. That is the whole of the paperwork question — everything else follows from it.

Find out who your service coordinator is
Every child served by a regional center has one. They are the person who writes and updates the plan, and they are who this conversation happens with — not us, and not the school.

Ask whether instruction can be added
The words that work are usually plain ones: “I would like to look at adding music instruction as a service on the plan.” You do not need to argue a case at this stage; you are asking for it to be considered.

We give you what the agency asks for
Rates, service description, our provider number, insurance — whatever that particular agency needs, in the format it needs. You should not be the one chasing this.

The agency authorises a number of lessons
It comes back as an authorization: a service, a number of units, and a date range. That is what we schedule against, and we stop when it runs out rather than quietly continuing.

Lessons start, and you are never billed
We invoice the agency. You do not see a bill, an invoice, a copay or a difference to make up.
How long it takes
Honestly: weeks, not days, and it depends on when the plan is next reviewed. Some agencies can add a service between reviews and some will wait. We will tell you which situation you are in as soon as we know, rather than letting you assume it is imminent.
Plenty of families start privately and switch across once funding comes through. That is a normal thing to do and we do not make it awkward.
